Business Partner Terms & Conditions.

1. Introduction

These Business Partner Terms & Conditions ("Terms") govern participation in the I WORK AT network.

By joining I WORK AT, your business agrees to provide eligible I WORK AT members with the agreed discount and to operate in accordance with these Terms.

I WORK AT reserves the right to approve, refuse, suspend or terminate participation in accordance with these Terms.

Participation in the network is conditional upon continued compliance with these Terms.

2. Definitions

For the purposes of these Terms:

Advertised Price means the normal selling price of a product or service offered to the general public before any I WORK AT discount is applied.

Business means the company, partnership, sole trader or other organisation approved to participate in I WORK AT.

Discount means the standard I WORK AT member discount.

I WORK AT means the operator of the I WORK AT employee benefits network.

Member means an individual with a valid I WORK AT digital membership issued through an approved employer.

Verification System means the official I WORK AT QR code or any future verification technology approved by I WORK AT.

3. Business Eligibility

To participate in I WORK AT, your business must:

  • Be independently owned and operated.
  • Operate from permanent business premises.
  • Meet the current I WORK AT eligibility criteria.
  • Hold all licences, permits and registrations required to trade.
  • Maintain appropriate insurance relevant to your business activities.
  • Continue to satisfy the eligibility requirements throughout your participation.

Acceptance into the I WORK AT network is entirely at the discretion of I WORK AT.

Meeting the eligibility criteria does not guarantee acceptance.

4. Participation in the Network

Once approved, your business will become a participating I WORK AT Business Partner.

Participation allows your business to:

  • Accept valid I WORK AT memberships.
  • Display approved I WORK AT branding.
  • Be listed on the I WORK AT website, app and marketing materials.
  • Participate in future I WORK AT promotional campaigns.

Participation remains active until cancelled or terminated in accordance with these Terms.

5. The I WORK AT Discount

The I WORK AT discount is designed to be simple, consistent and easy for members and businesses to understand.

Every participating business agrees to provide:

15% off all advertised prices, all day, every day.

This means:

  • The discount applies throughout your normal opening hours.
  • The discount applies every day your business trades.
  • The discount applies to all advertised prices.
  • The discount cannot be limited to certain days.
  • The discount cannot be limited to certain times.
  • The discount cannot be limited to selected customers.
  • The discount cannot be restricted to selected products or services except where specifically permitted by these Terms.

Businesses must apply the discount consistently to all eligible members.

6. Maximum Discount

To protect participating businesses from unusually high-value transactions, the I WORK AT discount is subject to a maximum discount value.

The maximum discount available on any individual item is:

15% of the first £150 of the item's advertised selling price.

Accordingly, the maximum discount available on any individual item is £22.50.

This maximum applies to each individual item, not to the total transaction value.

7. Permitted Exclusions

The strength of the I WORK AT network relies upon members knowing they can expect the same offer from every participating business.

Accordingly, businesses may not create their own exclusions without the prior written approval of I WORK AT.

The only standard exclusions are:

  • Gift vouchers and gift cards.
  • National Lottery products.
  • Postage stamps.
  • Charitable donations.
  • Government charges.
  • Taxes and statutory fees.
  • Products or services that cannot legally be discounted.

No other exclusions are permitted unless agreed in writing by I WORK AT.

8. Pricing Integrity

Businesses must not:

  • Increase prices for I WORK AT members.
  • Operate separate pricing structures for I WORK AT members.
  • Introduce hidden charges to offset the discount.
  • Remove products from sale to avoid offering the discount.
  • Add compulsory service charges solely because a customer is using I WORK AT.

Members must always receive 15% off the same advertised price available to members of the general public.

9. Membership Verification

Businesses agree to verify every membership before applying the discount.

Verification should be carried out using the official I WORK AT Verification System.

Businesses may refuse to apply the discount where:

  • Membership cannot be verified.
  • The membership has expired.
  • The membership has been suspended.
  • Fraud is reasonably suspected.

Where appropriate, businesses may request photographic identification to confirm that the membership belongs to the individual presenting it.

Businesses must not retain copies of identification documents.

10. Fraud Prevention

Businesses agree to help protect the integrity of the network.

Businesses must notify I WORK AT as soon as reasonably practicable if they become aware of:

  • Fraudulent memberships.
  • Shared digital passes.
  • Fake QR codes.
  • Attempts to bypass verification.
  • Deliberate misuse of the platform.

Businesses should cooperate with any reasonable investigation undertaken by I WORK AT.

11. Verification System

Businesses agree to use the official verification system whenever reasonably possible.

Screenshots, copied QR codes or photographs of digital passes should not normally be accepted unless temporary guidance has been issued by I WORK AT.

Businesses should ensure that staff responsible for serving customers understand how to verify memberships correctly.

12. Technology Failure

If the I WORK AT verification system becomes temporarily unavailable due to technical issues, businesses should follow any contingency procedures published by I WORK AT.

Businesses are expected to act reasonably and in good faith when dealing with members during any temporary service interruption.

13. Staff Training

Businesses are responsible for ensuring that all relevant employees understand how the I WORK AT scheme operates.

Staff should be trained to:

  • Recognise an I WORK AT member.
  • Verify a digital membership correctly.
  • Apply the discount accurately.
  • Understand the maximum discount rules.
  • Respond politely to customer queries.
  • Escalate any suspected misuse where appropriate.

Businesses remain responsible for the actions of their employees when applying the I WORK AT discount.

14. Customer Service

Participating businesses agree to provide members with the same standard of customer service offered to all other customers.

Businesses must:

  • Honour valid memberships.
  • Apply the agreed discount correctly.
  • Treat members fairly and respectfully.
  • Cooperate with reasonable enquiries from I WORK AT.

Membership of the network is intended to enhance the customer experience, and businesses are expected to uphold this objective.

15. Quality Assurance

To help maintain a high-quality network, I WORK AT may carry out quality assurance activities from time to time.

These may include:

  • Mystery shopper visits.
  • Test purchases.
  • Discount verification checks.
  • Staff knowledge assessments.
  • Customer feedback reviews.
  • Operational compliance reviews.

Businesses agree to cooperate reasonably with these activities.

16. Customer Complaints

I WORK AT may receive complaints relating to participating businesses.

Where appropriate, I WORK AT may:

  • Request further information.
  • Contact the business.
  • Review supporting evidence.
  • Request corrective action.
  • Issue recommendations.
  • Issue formal warnings.
  • Temporarily suspend participation.
  • Remove the business from the network.

Repeated complaints, serious misconduct or persistent failure to comply with these Terms may result in termination.

17. Business Information

Businesses must ensure that all information held by I WORK AT remains accurate and up to date.

This includes:

  • Trading name.
  • Registered business name (where applicable).
  • Business address.
  • Contact details.
  • Website.
  • Social media accounts.
  • Opening hours.
  • VAT status (where applicable).
  • Primary contact details.

Businesses must notify I WORK AT of any material changes within 14 days.

18. Change of Ownership

Participation in I WORK AT is granted to the approved business and is not automatically transferable.

If ownership of the business changes, the new owner must notify I WORK AT as soon as reasonably practicable.

I WORK AT reserves the right to reassess the business against its eligibility criteria before allowing continued participation.

19. Temporary Closure

Businesses should notify I WORK AT if they expect to close for more than 14 consecutive days.

I WORK AT may temporarily suspend listings, display a temporary closure notice or otherwise inform members of the closure.

20. Marketing

Businesses grant I WORK AT permission to promote their participation in the network.

This may include the use of:

  • Business name.
  • Logo.
  • Photographs.
  • Website address.
  • Opening hours.
  • Business description.
  • Social media links.

These materials may be used across:

  • The I WORK AT website.
  • The I WORK AT mobile application.
  • Email communications.
  • Printed marketing.
  • Social media.
  • Press and promotional campaigns.

Ownership of all trademarks and branding remains with the business.

21. Promotional Material

Businesses agree to display official I WORK AT promotional materials wherever reasonably practical.

These may include:

  • Window stickers.
  • Door decals.
  • Till stickers.
  • Counter displays.
  • QR code signage.
  • Promotional posters.
  • Table talkers.
  • Printed leaflets.

Businesses should remove all I WORK AT promotional material promptly if they cease participating in the network.

22. Brand Guidelines

Businesses may only use official I WORK AT branding supplied or approved by I WORK AT.

Businesses must not:

  • Alter the I WORK AT logo.
  • Create modified versions of the branding.
  • Suggest an endorsement or partnership that does not exist.
  • Continue displaying I WORK AT branding after leaving the network.

Any misuse of I WORK AT branding may result in immediate removal from the scheme.

23. Fees and Payment

Participation in the I WORK AT network is subject to the agreed subscription fee.

Unless otherwise agreed in writing:

  • Fees are charged monthly.
  • Payment is collected by Direct Debit.
  • Prices are exclusive of VAT unless stated otherwise.
  • VAT will be charged where applicable.
  • Businesses are responsible for ensuring payment details remain accurate.

Failure to make payment may result in suspension or termination of participation.

24. Changes to Fees

I WORK AT may review and amend participation fees from time to time.

Businesses will receive at least 30 days' notice of any change to pricing.

Continued participation after the notice period constitutes acceptance of the revised fees.

25. Suspension for Non-Payment

Where payment cannot be collected, I WORK AT may:

  • Suspend the business listing.
  • Suspend member discounts.
  • Restrict access to business services.
  • Remove promotional content.
  • Terminate participation if payment remains outstanding.

Participation may be reinstated once all outstanding amounts have been settled.

26. Cancellation by the Business

There is no minimum term and no fixed contract. Businesses may cancel their participation at any time, without notice and without any cancellation fee.

Cancellation takes effect at the end of the monthly billing period already paid for. No further fees are charged after that date, and the Direct Debit mandate is cancelled.

Until cancellation takes effect, businesses must continue to honour valid I WORK AT memberships.

Fees already paid for the current billing period are not refunded, as participation continues for the remainder of that period.

27. Termination by I WORK AT

I WORK AT may suspend or terminate participation immediately where:

  • These Terms have been breached.
  • Fraudulent activity is suspected.
  • Membership discounts are repeatedly refused without valid reason.
  • Subscription fees remain unpaid.
  • The business ceases trading.
  • The business no longer meets the eligibility criteria.
  • Continued participation is considered detrimental to the network or its members.

Where appropriate, I WORK AT may provide an opportunity for the business to remedy the issue before termination.

28. Effect of Termination

Upon termination of participation, businesses must:

  • Stop advertising themselves as an I WORK AT Business Partner.
  • Remove I WORK AT promotional materials.
  • Stop using I WORK AT branding.
  • Cease accepting I WORK AT memberships.
  • Remove any references to I WORK AT from their own marketing where requested.

Termination does not affect any rights or obligations that accrued before the termination date.

29. Liability

Businesses remain solely responsible for:

  • Their products.
  • Their services.
  • Their pricing.
  • Their warranties.
  • Their refunds.
  • Their customer service.
  • Compliance with all applicable laws and regulations.

I WORK AT acts solely as a membership and marketing platform and is not a party to any transaction between a business and a member.

Nothing in these Terms excludes or limits liability where such exclusion or limitation would be unlawful.

30. Audit Rights

To ensure the consistent operation of the I WORK AT network, I WORK AT reserves the right to carry out reasonable compliance checks.

Businesses agree to cooperate with any reasonable request for information relating to participation in the scheme.

This may include:

  • Sample till receipts.
  • Transaction records.
  • Verification records.
  • Staff training records.
  • Evidence that discounts are being applied correctly.
  • Other information reasonably required to investigate compliance with these Terms.

I WORK AT will not request commercially sensitive information unless reasonably necessary.

31. Online Listings

Businesses grant I WORK AT permission to publish and promote the following information:

  • Business name.
  • Trading address.
  • Contact details.
  • Website address.
  • Social media profiles.
  • Business description.
  • Photographs.
  • Opening hours.
  • Business category.
  • Promotional offers relating to the I WORK AT scheme.

This information may be displayed on:

  • The I WORK AT website.
  • Mobile applications.
  • Marketing emails.
  • Printed promotional material.
  • Social media.
  • Press releases and promotional campaigns.

Businesses confirm they have the necessary rights to any images or content supplied.

32. Reputation of the Network

Businesses agree not to engage in conduct that is likely to damage the reputation of:

  • I WORK AT.
  • Other participating businesses.
  • Members of the scheme.

Examples include:

  • Fraudulent activity.
  • Misleading advertising.
  • Offensive or abusive behaviour.
  • Illegal trading practices.
  • Deliberately refusing valid discounts.
  • Persistent poor customer service.
  • Conduct likely to bring the network into disrepute.

I WORK AT may investigate any conduct that could reasonably affect the reputation of the network.

33. Fraud and Misuse

Businesses must take reasonable steps to prevent fraud and misuse of the scheme.

This includes reporting suspected:

  • Fake memberships.
  • Shared membership passes.
  • Counterfeit QR codes.
  • Attempts to bypass the verification process.
  • Deliberate misuse by customers or staff.

Where fraud is suspected, I WORK AT may suspend memberships, suspend businesses or investigate further before taking action.

34. Member Reviews

I WORK AT may invite members to provide feedback on participating businesses.

This feedback may include:

  • Overall satisfaction.
  • Customer service.
  • Whether the discount was correctly applied.
  • General experience.

Where review functionality is introduced, businesses may be given the opportunity to respond.

I WORK AT reserves the right to moderate, edit or remove reviews that are offensive, defamatory, misleading or otherwise inappropriate.

35. Network Quality Standards

I WORK AT aims to maintain a high-quality network of trusted independent businesses.

Businesses are expected to:

  • Provide a positive customer experience.
  • Honour the scheme consistently.
  • Operate professionally.
  • Maintain appropriate standards of cleanliness, presentation and service.
  • Cooperate with reasonable requests from I WORK AT.

Where standards consistently fall below expectations, I WORK AT may require improvements or remove the business from the network.

36. Network Balance

To provide members with a varied and valuable selection of businesses, I WORK AT may limit participation within particular sectors or geographical areas.

Acceptance into the network does not guarantee exclusivity unless expressly agreed in writing.

I WORK AT reserves the right to:

  • Limit the number of businesses within a category.
  • Pause applications in specific locations.
  • Prioritise businesses that improve the overall balance of the network.

37. Invitation and Acceptance

Participation in I WORK AT is by approval only.

I WORK AT reserves the right to:

  • Accept applications.
  • Decline applications.
  • Place businesses on a waiting list.
  • Reassess eligibility at any time.

I WORK AT is under no obligation to provide reasons for any decision relating to acceptance or continued participation.

38. Competitive Conduct

Businesses, their owners and employees must not knowingly:

  • Copy the I WORK AT business model with the intention of competing unfairly.
  • Attempt to gain unauthorised access to I WORK AT systems.
  • Reverse engineer or misuse I WORK AT technology.
  • Misuse confidential information obtained through participation.
  • Interfere with the operation of the network.
  • Encourage other participating businesses to breach these Terms.

Serious breaches may result in immediate termination.

39. Confidentiality

Businesses may receive confidential information relating to I WORK AT, including operational processes, technology, commercial arrangements or future developments.

Businesses agree to keep such information confidential unless:

  • Disclosure is required by law.
  • The information is already publicly available.
  • I WORK AT has provided written consent.

This obligation continues after participation ends.

40. Intellectual Property

All intellectual property rights relating to I WORK AT, including but not limited to:

  • Trade marks.
  • Logos.
  • Branding.
  • Software.
  • QR verification systems.
  • Website content.
  • Marketing materials.
  • Documentation.

remain the property of I WORK AT unless otherwise agreed in writing.

Participation in the scheme does not transfer ownership of any intellectual property.

41. Data Protection

Each party is responsible for complying with all applicable data protection legislation, including the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.

Businesses must only use member information for the purpose of completing the transaction and must not retain or use personal information obtained through the verification process except where permitted by law.

42. Non-Exclusivity

Participation in I WORK AT does not prevent businesses from taking part in:

  • Other loyalty schemes.
  • Promotional campaigns.
  • Discount programmes.
  • Marketing initiatives.

Unless expressly agreed, participation does not create an exclusive relationship between the parties.

43. Force Majeure

Neither party shall be liable for any delay or failure to perform its obligations where such delay or failure results from circumstances beyond its reasonable control.

Examples include:

  • Fire.
  • Flood.
  • Severe weather.
  • Pandemic.
  • War.
  • Terrorism.
  • Industrial disputes.
  • Government restrictions.
  • Major telecommunications failures.
  • Widespread technology outages.

Obligations affected by such events shall be suspended only for the duration of the event.

44. Governing Law

These Terms & Conditions shall be governed by and interpreted in accordance with the laws of England and Wales.

Any dispute arising from these Terms shall be subject to the exclusive jurisdiction of the courts of England and Wales.

45. Protecting the Integrity of the Network

The long-term success of I WORK AT depends upon maintaining a trusted, high-quality network for both members and participating businesses.

Accordingly, I WORK AT reserves the right to suspend, refuse or terminate the participation of any business where it reasonably believes that doing so is necessary to protect:

  • The reputation of I WORK AT.
  • The interests of its members.
  • The interests of other participating businesses.
  • The integrity, quality or long-term sustainability of the network.

Where appropriate, I WORK AT will act fairly, reasonably and consistently when exercising this right.

46. Changes to these Terms

I WORK AT may amend these Terms & Conditions from time to time.

Where changes are significant, participating businesses will receive at least 30 days' notice before the revised Terms take effect.

Continued participation in the network after the effective date constitutes acceptance of the revised Terms.

47. Notices

Any formal notice required under these Terms may be given:

  • By email to the primary registered business contact.
  • Through the I WORK AT business portal.
  • By post to the registered trading address.
  • By any other method agreed between the parties.

Businesses are responsible for ensuring that their contact details remain accurate.

48. Waiver

If I WORK AT chooses not to enforce any provision of these Terms on one occasion, this does not prevent it from enforcing that provision or any other provision at a later date.

Any waiver must be made expressly and in writing.

49. Severability

If any provision of these Terms is found to be invalid, unlawful or unenforceable by a court or competent authority, that provision shall be deemed severed.

The remaining provisions shall remain in full force and effect.

50. Entire Agreement

These Terms & Conditions, together with any policies expressly referred to within them, constitute the entire agreement between I WORK AT and the participating business relating to participation in the I WORK AT network.

They supersede all previous discussions, representations, proposals or agreements relating to participation.

51. Assignment

Businesses may not assign, transfer or subcontract their rights or obligations under these Terms without the prior written consent of I WORK AT.

I WORK AT may assign or transfer its rights and obligations as part of a business sale, restructuring or transfer of ownership.

52. No Partnership or Agency

Nothing in these Terms creates:

  • A partnership.
  • A joint venture.
  • An agency relationship.
  • An employment relationship.

Participating businesses remain independent businesses at all times.

Neither party has authority to bind the other.

53. Compliance with Laws

Businesses are responsible for ensuring that they comply with all applicable legislation relevant to their business, including but not limited to:

  • Consumer protection legislation.
  • Employment legislation.
  • Health and safety requirements.
  • Licensing requirements.
  • Trading standards.
  • Equality legislation.
  • Food safety legislation (where applicable).
  • Data protection legislation.

Participation in I WORK AT does not remove or reduce any legal obligations placed upon the business.

54. Insurance

Businesses must maintain appropriate insurance relevant to the nature of their business throughout their participation in the network.

I WORK AT may request evidence of insurance where reasonably necessary.

55. Limitation of Liability

To the fullest extent permitted by law:

  • I WORK AT is not responsible for the products or services supplied by participating businesses.
  • I WORK AT does not guarantee the financial performance of any participating business.
  • I WORK AT does not guarantee any particular level of customer traffic, sales or revenue.
  • Businesses remain solely responsible for all transactions entered into with members.

Nothing in these Terms excludes or limits liability for fraud, fraudulent misrepresentation, death or personal injury caused by negligence, or any liability that cannot legally be excluded.

56. Contact

These Terms are entered into with I WORK AT LTD, a company registered in England and Wales under company number 17392790, whose registered office is 33 Stonehouse Street, Plymouth, PL1 3PE.

Schedule 1 — Summary of Business Commitments

By joining I WORK AT, participating businesses agree to:

Schedule 2 — Standard National Exclusion List

The I WORK AT discount does not apply to:

  • Gift cards and gift vouchers.
  • National Lottery products.
  • Postage stamps.
  • Charitable donations.
  • Government charges.
  • Taxes and statutory fees.
  • Products or services that cannot legally be discounted.

No other exclusions are permitted without the prior written approval of I WORK AT.

The objective of these Terms & Conditions is to create a simple, consistent and trusted employee benefit scheme that supports independent businesses while providing genuine value to employees.

Every participating business contributes to the reputation of the I WORK AT network. By maintaining high standards, honouring the agreed discount and delivering excellent customer service, businesses help strengthen the network for all members and partners.
